Solutions360 Inc. (“Solutions360,” “we,” “us”) is committed to protecting the privacy of individuals who use Q360, the Q360 Mobile App, and visit solutions360.com. This policy explains what information we collect, how we use it, and the choices available to you.
Solutions360 functions as a data processor for Q360 databases. The organization that uses Q360 is the data owner and bears responsibility for ensuring its use of Q360 complies with applicable laws and regulations, including any obligations toward end users.
Solutions360 does not sell, trade, or rent personal information to third parties.
INFORMATION WE COLLECT
Information is collected in the following ways:
Solutions360.com website visitors: Domain names (not email addresses) from general visitors to solutions360.com.
Direct communications: Email addresses from individuals who contact Solutions360, participate in surveys, or use message board features.
Q360 application users: Activity logs, database records, and user preference settings generated during normal use of Q360.
Location data: GPS coordinates collected while a time bill is actively running in the Q360 mobile app. See the Location Data section within Q360 iOS and Android App below for full details.
Device identifiers: A device identifier collected when push notification permission is granted, used solely to deliver push notifications. See the Q360 iOS and Android App section below for details.
HOW WE USE YOUR INFORMATION
Solutions360.com
Information collected through solutions360.com is used to:
– Provide and operate the website
– Respond to support requests and direct communications
– Analyze usage patterns to improve website performance
Solutions360.com uses a third-party web analytics service to understand how visitors use the site. This service uses cookies to collect information about your visit, including your IP address and browsing behavior on the site. That information is transmitted to and stored by the analytics provider, which uses it to evaluate site usage, compile reports for Solutions360, and provide related internet analytics services. The analytics provider may transfer this information to third parties where required by law, or where those third parties process the information on its behalf. Email addresses collected from direct communications are used solely to respond to those communications. Recipients may opt out of further contact at any time by notifying us at the address in the Contact section below.
Q360 Application
Use of the Q360 application and the information collected through it are governed by the terms of your executed subscription agreement with Solutions360.
Information collected through the Q360 application is used to:
– Provide and operate the Q360 application
– Analyze usage patterns to improve application performance and reliability
– Fulfill backup and troubleshooting obligations under customer agreements
Q360 iOS and Android App
Information collected through the Q360 mobile app is used to:
– Provide and operate the Q360 mobile application
– Display field technician location on the service coordinator’s dispatch map (location data only, while a time bill is active)
Location Data
When a user starts a time bill, the Q360 app collects GPS location data — including in the background — to display the user’s real-time position on the service coordinator’s dispatch map.
Location data is only collected while a time bill is actively running. Collection stops automatically when the time bill ends.
Location data is transmitted to the customer’s Q360 server and is not shared with third parties.
Users who do not wish to share location data may decline location permissions in their device settings. Declining will prevent the dispatch map from displaying that user’s location. No other Q360 functionality is affected by this choice.
Push Notifications and Device Identifiers
If push notification permission is granted, the app collects a device identifier solely to deliver push notifications. This identifier is removed from Solutions360 servers when the user logs out of the app and is automatically purged after 7 days of inactivity. If push notification permission is declined, no device identifier is collected.
App Permissions
The Q360 mobile app requests the following additional permissions:
Physical activity: The app uses physical activity detection on-device to determine movement state (driving, walking, or stationary) in order to optimize GPS accuracy and reduce battery consumption while a time bill is active. This data is processed on-device only and is not collected or stored by Solutions360.
Camera and file system: Camera and file system access is requested only when a user initiates a document upload. Files are temporarily stored on the device while queued for upload and transmitted to the customer’s Q360 server when connectivity is available. Solutions360 does not retain access to these files beyond the upload process.
SHARING AND THIRD PARTIES
Solutions360 does not sell, trade, or rent personal information to third parties. Information is not shared with external organizations except in the following circumstances:
– As required by applicable law or a regulatory authority
– With service providers who support Solutions360’s operations, under confidentiality obligations
– To protect the rights, property, or safety of Solutions360, its customers, or the public
The solutions360.com website contains links to external websites. Solutions360 is not responsible for the privacy practices of those sites.
DATA RETENTION
Solutions360 retains data only as long as necessary to fulfill the purposes described in this policy, or as required by applicable law. Data owners may request deletion of their data at any time. See the Your Rights and Contact sections below.
SECURITY MEASURES
Solutions360 employs industry-standard encryption technologies for data in transit and at rest. Data in transit is protected using TLS 1.2 or higher. Data at rest is encrypted using AES-256. Physical, administrative, and technical safeguards are maintained to protect against unauthorized access, disclosure, alteration, or destruction of data. Solutions360’s security practices follow guidance provided by ISO 27001 and the NIST Cybersecurity Framework.
In the event of a data breach involving personal information, Solutions360 will notify affected parties and the relevant authorities as required by applicable law in the jurisdiction where the affected individuals reside.
YOUR DATA RIGHTS
Depending on your jurisdiction, you may have the following rights regarding personal information we hold:

– Deletion — request removal of your data
– Portability — receive your data in a structured format

Account deletion: Because Q360 user accounts are created and managed by your organization, account deletion requests should be directed to your Q360 administrator. You may also contact Solutions360 at [email protected] and we will coordinate with your administrator to process the request.
INFORMATION ABOUT MINORS
Q360 is designed for business organizations and their employees. Solutions360 discourages the storage of personal information about individuals under the age of 13 within Q360 databases. If such information is discovered, it should be removed promptly.
Data owners — not Solutions360 — are responsible for ensuring their use of Q360 complies with applicable laws regarding personal information about minors.
CHANGES TO THIS POLICY
Solutions360 may update this policy from time to time. When changes are made, the revised policy will be posted at solutions360.com/privacy-policy with an updated effective date.
For material changes — those that significantly affect how personal information is collected or used — Solutions360 will provide additional notice where required by applicable law. Continued use of Q360 or solutions360.com following the posting of any change constitutes acceptance of that change.
